Automatic Data Clean-Up
To protect the privacy of your participants and events, we automatically remove all results and profile data 30 days after an event ends. For the sake of continuity, customers with an active subscription on our platform are excluded from this process unless they explicitly choose otherwise.
When we delete or remove data as part of the clean-up process, it will be removed forever, and it will not be possible to recover this data. Please make sure to create an off-site backup (and store this securely!) if you want to keep a backup of the data.
Data Removed in a Clean Up
We will clean up this data:
- All results and leaderboards related to an event
- All profiles that were created by joining the event (we'll call these "included profiles"), except for the admins.
Data Retained After a Clean Up
We will not remove the following data:
- Event configuration (to allow you to quickly create your next edition)
- Admin accounts (so they keep access to our platform)
- Profiles not created by joining the event, e.g., users who already had an account with us but later joined this event.
- Anonymized and weekly-aggregated insights
The Event Clean-Up Process
When an event is scheduled for clean up, we follow this process:
- Seven days before the clean-up date, admins are notified to allow them to download final reports when needed.
- On the cleanup date, all results are removed, and included profiles are marked for automatic removal. Profile owners will be notified of this and have 7 days to decide to keep their profile or let it be destroyed.
- All selected profiles will be removed from our systems unless the owner opts to keep their data and profile.
Additional Options
Consider our Enterprise plans for more fine-grained options, including scheduling the clean-up date or getting copies of data removal requests by participants (so you can also remove them from your own exported reports).
